NSX Summer Schools | Terms and Conditions
This document sets out the terms of booking a participant into an NSX English Language Summer School programme, which include English classes in the morning, multi-activity sessions in the afternoon, and evening social activities.
1. BOOKINGS AND PAYMENTS
1.1 A booking is confirmed upon receipt of a non-refundable deposit equal to 20% of the total programme fee.
1.2 The remaining balance (80%) must be paid by 1 May.
1.3 Bookings made on or after 1May must be paid in full at the time of booking.
1.4 All payments must be made in GBP via bank transfer. Bank details will be provided upon invoice.

2. CANCELLATIONS
2.1 Cancellations before 1 May will result in the loss of the deposit.
2.2 Cancellations from 1 May onward will incur a 100% charge per cancelled participant.
2.3 All bookings are non-transferable.
2.4 NSX reserves the right to apply discretion in cancellation charges based on specific circumstances.
3. PROGRAMME CHANGES AND REFUNDS
3.1 NSX reserves the right to change the school venue/excursions or school specific activities if we deem it to be in the best interest of the students and their well-being or due to operational and external factors.
3.2 No refunds will be given for missed activities, early departures, or unused services.
3.3 If a major programme change occurs, NSX will offer a suitable alternative, or a pro-rate refund.
4. PERSON / AGENT BOOKING RESPONSIBILITIES
4.1 Agents/person booking must ensure all participant information and permissions (including
parental consent) are submitted to NSX at least two weeks prior to arrival.
4.2 Agents/person booking are responsible for ensuring participants hold valid passports, visas,
and travel insurance.
4.3 Activity exclusions must be communicated to NSX in writing prior to arrival.
4.4 Any damage caused by participants (excluding accidental damage) will be chargeable.
4.5 Agents/person booking must ensure all accompanying adults have passed safeguarding checks
and received relevant documentation and training i.e. NSX Group Leader Handbook.
5. PARTICIPANT CONDUCT
5.1 NSX may remove any participant whose behaviour endangers others or disrupts the
programme.
5.2 Agents/guardians are responsible for any collection or associated costs if a participant is
removed.
5.3 No refunds will be issued in cases of removal for misconduct.
6. HEALTH AND SAFETY
6.1 NSX complies with UK health and safety standards and inspects all activity providers.
6.2 Accompanying adults must support safe practices throughout the programme.
6.3 Photographs may be taken for promotional purposes unless written objection is provided before
arrival.
7. RISK DISCLOSURE
7.1 Participants acknowledge that certain programme activities carry inherent risks (e.g. uneven
terrain, weather conditions).
7.2 All known medical conditions and phobias must be disclosed to NSX prior to participation.
7.3 NSX may refuse participation in activities where safety could be compromised.
7.4 Participants must follow all instructions given by NSX staff during activities.
8. EXTERNAL PROVIDERS
8.1 NSX is not responsible for services booked independently by the group.
8.2 Only approved suppliers are used for programme activities arranged by NSX.
9. LEGAL AND INSURANCE
9.1 This agreement is governed by the laws of England and Wales.
9.2 NSX maintains public liability insurance of up to £5 million.
9.3 Basic first aid will be administered in the event of an accident unless directed otherwise by a
medical professional.
10. ACCEPTANCE
10.1 Payment of deposit or full balance constitutes acceptance of these terms by the agent and
confirms their responsibility to ensure group participants and guardians are informed and
compliant.
